What does an AI WhatsApp agent for home services do?
An AI WhatsApp agent for home services is software that takes a company’s job requests on WhatsApp the way an experienced dispatcher would. It understands the customer’s voice note or photo, asks for the service, area, unit details, urgency and a preferred visit window, quotes only the prices the company has written, books the visit and passes the job to a coordinator.
- Turns voice notes into text and answers them, and can read a photo of the broken unit or the leak
- Asks the intake questions you choose: service type, district, unit brand and size, urgency, preferred visit window
- Quotes “starting from” prices and visit fees only when you have written them in its knowledge base
- Books the agreed visit window into your Google Calendar and moves the request to Appointment Booked
- Assigns every job request to a coordinator on shift, with an AI summary of what the customer needs
What is Scale?
Scale is an AI customer-conversation platform with a built-in CRM. It connects your company’s WhatsApp Business number — and Instagram and Messenger — through Meta’s official APIs, replies with an AI agent that knows your services, prices and coverage areas, and keeps every customer as a lead your coordinators can see and act on. For maintenance companies, that means WhatsApp booking with the intake already done: the AI collects the job and proposes the visit, and your dispatcher decides who goes, and when.
Who it’s for
- AC installation and maintenance companies, and appliance-repair workshops that send technicians into homes
- Plumbing, electrical, painting and home-finishing contractors whose customers explain the job by voice note
- Cleaning, pest-control and moving companies that need the flat size, the number of rooms or the route before they can price a job
- Water-filter companies that install and service units at the customer’s address
- Companies covering several cities: give each city its own workspace — every plan comes with unlimited workspaces
Why home-service job requests slip through on WhatsApp
Customers of a maintenance company are not browsing. Something at home has stopped working and they want to know who can come. The requests that get lost usually fall through one of four gaps:
The problem arrives as a voice note
A long recording about a noisy outdoor unit has to be played, understood and typed up before anyone can quote. On a busy morning it simply waits.
Half the details are missing
Which brand? How many units? Which floor, which district? The dispatcher chases each answer in a separate message, and the customer drifts off between replies.
The visit never gets a time
The chat ends with “we’ll call you when a technician is free”, and the customer books whichever company offered a time first.
Requests live on one phone
Jobs land in the owner’s or one coordinator’s personal WhatsApp. When that person is out, nobody else can see what was promised to whom.
How Scale turns a home-service enquiry into a booked visit
Your team writes the rules once — the services you offer, the areas you cover, the questions to ask and the visit windows to propose — and the AI applies them in every chat. Each step below is something Scale does today.
Understands the voice note and the photo
Voice notes are transcribed and answered like text, in Arabic or English and in the dialect you pick. When a customer sends a picture — the indoor unit, a leak under the sink, the label on a water heater — the AI can read it and carry on from what it shows. It does not diagnose the fault; it gathers what your technician needs to know.
Collects the dispatcher’s questions
Service type, district, unit brand and size, how urgent it is and when the customer will be home. You decide the list. The answers are saved on the lead, and its stage moves from New Lead to Interested and Qualified as the details come in.
Books a visit window
When the customer picks one of the windows you list, the AI writes the visit into your Google Calendar and the lead moves to Appointment Booked. It does not check which technician is free, so your dispatcher confirms the crew and the exact time.
Hands the job to a coordinator
Each request is assigned round-robin to a coordinator who is on shift; if nobody is, it waits in a queue until someone starts. The coordinator opens the AI summary and the whole chat, and can take over with one tap.
Scale does not track technicians, plan routes or collect payment, and a workspace books into one shared Google Calendar rather than a calendar for each technician. It handles the conversation, the job details and the booked window; your dispatcher picks who goes. Final prices, warranty decisions and anything that sounds unsafe can be listed in “Never Guess These”, so a person always answers them.
What happens after a customer messages your maintenance company
This is the path a single job request takes through Scale, from the first voice note to a finished job:
- A customer writes or records a voice note on WhatsApp, Instagram or Messenger. Scale creates a contact, and the chat appears in your shared inbox as a New Lead.
- The request is assigned round-robin to a coordinator on shift. Outside working hours it waits in the queue and goes to the first coordinator who becomes available.
- The AI answers from your service list and coverage areas, quotes a starting price where you have written one, and asks your intake questions until the job is clear.
- If the customer goes quiet before choosing a time, the AI sends one follow-up inside WhatsApp’s 24-hour messaging window.
- The customer picks one of the visit windows you offer. The AI writes the visit into Google Calendar and the lead moves to Appointment Booked.
- Your dispatcher assigns the technician and confirms with the customer in the same chat, taking it over with one tap.
- After the visit, the coordinator records the job as a sale. The lead becomes a Customer, and the job counts toward that coordinator’s figures.
Every customer stays in the CRM with a stage and tags. Before the summer, tag your AC customers and send them a pre-season service offer as a WhatsApp campaign with an approved template; pest-control and cleaning companies can do the same ahead of their own busy months.

A picture of the unit or the damage moves the chat on.
Your intake questions
Service, district, unit, urgency and visit window.
Visit booking
The agreed window written to Google Calendar.
Round-robin to coordinators
Requests go to whoever is on shift.
One-tap takeover
A coordinator steps in and the AI goes quiet in that chat.

Approved templates to past customers, chosen by tag.
Two numbers, one workspace
An AC line and a cleaning line, each with its own team.
Works with
Home-service job requests in one shared list
The inbox is where the conversation happens; the leads table is where the dispatcher plans the day. Each request is a row with its job, its district, its stage and its coordinator. A manager can filter the list by stage and open any request, while each coordinator sees the jobs assigned to them.
How to set up Scale for a maintenance or cleaning company
Connect your number
Sign in with Meta and link the WhatsApp Business number your customers already message.
Write your service list
Services, starting prices, coverage areas, visit windows and policies — or upload the PDF or Excel sheet you already use.
Set the intake and the rules
The questions to ask, the dialect to write in, and what must always go to a coordinator.
Send a test job
Message the number with a voice note and a photo, then switch the AI on. There is no code to write.
What changes for a home-services dispatch desk
Jobs arrive complete
Service, unit, district and urgency are on the lead before anyone calls back.
Visits with a time attached
Customers leave the chat with a booked window instead of a promise to call.
Every request has an owner
Coordinators see their own jobs; the manager sees all of them.
Last season’s customers, reachable again
Seasonal campaigns reopen the chat with past AC and cleaning customers.
Scale vs. a home-services coordinator answering WhatsApp alone
| Task | Coordinator alone | With Scale |
|---|---|---|
| A voice note about a broken AC | Played and typed up later | Transcribed and answered |
| Unit brand, size and district | Asked one message at a time | Collected by the AI in the chat |
| Agreeing a visit time | “We’ll call you back” | A window booked in Google Calendar |
| Who owns the job | Whoever holds the phone | A coordinator assigned round-robin |
| Adding coordinators | Another shared handset | Unlimited team members |
Connect your number, add your services and visit windows, then describe a broken AC the way a customer would.
AI WhatsApp agent for home services: frequently asked questions
What is an AI WhatsApp agent for home services?
It is an AI assistant connected to your company’s WhatsApp number that handles the first conversation with every customer: it works out what needs fixing, cleaning or installing, asks your intake questions, quotes the prices you have written and books the visit. Scale builds it on your own information and hands each request to a coordinator.
Can a WhatsApp chatbot book AC repair and maintenance visits?
Yes. The AI offers the visit windows you list in its knowledge base and, once the customer chooses one, writes the visit into your connected Google Calendar. It does not check which technician is free or how many jobs a day already holds, so your dispatcher confirms the technician and keeps the windows you offer up to date.
Does it understand voice notes and photos of the problem?
Yes. Voice notes are transcribed and answered like written messages, in Arabic or English. The AI can also read a photo the customer sends — a leaking pipe, a cracked tile, the indoor unit of an AC — and use it to ask the next question. It does not diagnose faults or match photos to a parts list.
Will the AI quote a price for a repair?
Only the prices you give it. If your service list gives a starting price for AC cleaning and says the technician sets the final figure on site, that is exactly what customers are told. Where you have written no price, it does not make one up. Warranty claims, discounts and similar topics can be listed in “Never Guess These” so a person always answers them.
Can it assign jobs to my coordinators or technicians?
It assigns each request round-robin to a coordinator on shift, following their working hours and days off; when nobody is on shift, the request waits in a queue. Each coordinator sees only the requests assigned to them, and the owner sees all of them. Scale does not dispatch technicians, follow them on the road or plan routes — your coordinator does that part.
Can we send seasonal offers to past customers on WhatsApp?
Yes, as a campaign. Once WhatsApp’s 24-hour window has closed, only approved templates may be sent, so you choose a template and send it to contacts filtered by lead stage or tag — for example everyone tagged as an AC customer, before the summer. An existing customer list can be imported from a CSV file with its tags. The campaigns guide shows how.
Can we keep our current number, or run two WhatsApp lines?
You connect your own WhatsApp Business number through Meta’s official signup; if it already runs in the WhatsApp Business app, it can keep working there as well. One workspace can hold up to two numbers by default (contact the Scale team for more) — one for AC work and one for cleaning, say — each with its own team. See two WhatsApp numbers in one workspace.
Can Scale connect to our job-management software?
There is no ready-made connector for field-service software. Your developers can use the Scale API to send WhatsApp messages and templates from another system and to receive Scale’s webhooks, and Google Sheets keeps one row per customer, updated as the conversation goes on.
Does Scale collect payment for a job?
No. Payment stays with your technician or your office. After the visit, the coordinator records the job as a sale against their own name, and you can issue the customer an invoice from Scale.
How much does an AI WhatsApp agent for a maintenance company cost?
Each Scale plan includes the full product, unlimited workspaces and unlimited team members; the plans differ only in monthly message volume. Start with a 14-day free trial, no credit card needed — compare the plans on Scale pricing.
