What does an AI WhatsApp agent for law firms do?
An AI WhatsApp agent for law firms handles client intake in the chat. It answers practical questions — practice areas, consultation fees, office location and hours, which documents to bring — from the firm’s own information, asks the case type and a short description, books a paid consultation and assigns the matter to a lawyer. It does not give legal advice or predict outcomes.
- Answers the practical questions: practice areas, consultation fee and format, office address and hours, and what to bring
- Asks the case type — family, labour, real estate, corporate, criminal, immigration — and a short description in the client’s own words
- Books paid consultations, at the office or online as your firm offers them, into Google Calendar
- Assigns each new matter round-robin to a lawyer on shift, with an AI summary of the conversation
- Passes every request for an opinion, a case assessment or a likely outcome to a lawyer instead of answering it
What is Scale?
Scale is an AI platform for customer conversations, built on Meta’s official WhatsApp, Instagram and Messenger APIs. Your firm’s WhatsApp Business number is connected to a shared inbox, an AI agent replies using only what you have written about your practice, and every enquiry is saved as a lead in a built-in CRM. At a law firm, that means the AI carries the repeated questions and the scheduling, and your lawyers take over from the first consultation.
Who it’s for
- Law firms with several practice groups — family and personal status, labour, real-estate disputes, corporate and company formation, criminal defence, immigration and visas
- Solo lawyers who cannot answer WhatsApp while they are in court or sitting with a client
- Legal-consultation offices that sell paid consultations by appointment
- Firms with more than one office: each office can run in its own workspace, and every plan includes unlimited workspaces
Where law firms lose new clients on WhatsApp
A person with a legal problem is usually worried and often writing to more than one lawyer at once. The firm that gives a clear, calm next step tends to get the consultation. Firms lose those people in four familiar ways:
The lawyers are in court when clients write
Hearings, meetings and client calls fill the working day. A message that waits until the evening often finds the person already sitting with another firm.
The same handful of questions, all day
Do you take this kind of case? What is the fee? Where are you? What should I bring? Staff type the same answers between calls and filings.
Chats drift into free legal advice
“Will I win?” and “What would you do?” turn a booking chat into an unpaid consultation — or into an answer someone gives without the file in front of them.
Matters reach the wrong lawyer
A labour enquiry lands with the family lawyer, or sits on a shared phone nobody owns. The client tells the story twice, and sometimes nobody calls back.
How Scale handles client intake for a law firm
The firm’s information and the intake questions are written once. After that the AI applies them to each new conversation, and steps back at the point where a lawyer’s judgement is needed.
Answers the practical questions
Practice areas, consultation fees, office or online format, the address, opening hours and the documents to bring all come from your knowledge base — text you write, or the PDF, Word or Excel file you already give clients. The AI replies in Arabic or English, in the dialect you choose, and understands voice notes as well as typed messages.
Records the case type and a short description
The AI asks what kind of matter it is and for a brief account in the client’s own words, plus anything else you list, such as the city or whether a hearing date is already set. The answers are saved on the lead, and its stage moves from New Lead to Interested and Qualified.
Books the paid consultation
When the client is ready, the AI states the fee from your information, offers the consultation times you list and creates the booking in your Google Calendar. It does not check who is free, so keep the times you offer current. The lead moves to Appointment Booked.
Routes the matter to a lawyer
Each new lead is assigned round-robin to a team member who is on shift; a second WhatsApp number can have its own team, such as a separate line for corporate clients. Each lawyer sees only the matters assigned to them — the server enforces it — while the owner sees every matter.
Add rules such as “never assess whether a case is strong”, “never predict a verdict, sentence or settlement” and “never say which law applies”. For those topics the AI tells the client it needs to check and passes the question to your team, and it hands over by itself whenever a client asks to speak to a lawyer. How to train the AI on your firm’s information.
What happens when a client messages your law firm
This is the path one WhatsApp enquiry takes through Scale, from the first message to a retained client:
- A message reaches the firm — on WhatsApp, or by Instagram or Messenger if you connect them — often after the office has closed. It becomes a contact in Scale and a New Lead in the shared inbox.
- Scale gives the lead to the next lawyer or intake colleague in the rotation who is working now. When nobody is on shift, the lead joins a waiting queue until someone starts work.
- The AI answers the practical questions from your knowledge base, then asks the case type and a short description. Anything that calls for legal judgement goes to a person.
- Once the client picks a consultation time, the AI writes it into Google Calendar and the stage changes to Appointment Booked. The AI summary of the chat sits on the lead for the lawyer to read.
- A client who goes silent with a question unanswered gets a single follow-up from the AI, sent while WhatsApp’s 24-hour window is still open. Nothing further goes out automatically.
- If the client instructs the firm after the consultation, the lawyer logs the engagement in Scale as a sale in their own name, and the lead’s stage becomes Customer.
People who asked but never booked are not lost: they remain in the CRM with their stage and case type. An approved WhatsApp campaign can reopen the conversation later, sent to a stage such as Interested or to a tag you have used.

Works with
Your law firm’s intake pipeline in Scale
The inbox holds the conversations; the leads table holds the matters. Each enquiry is a row with its case type, its stage and the lawyer it belongs to, and the owner can filter by stage to see which consultations are booked and which enquiries still need a call.
How to set up WhatsApp client intake for a law firm
Connect the firm’s number
Link the office’s WhatsApp Business number through Meta’s sign-in; it can stay in the WhatsApp Business app as well.
Describe your practice
Practice areas, consultation fees and format, address, hours and the documents clients should bring.
Set the intake and its limits
The case-type questions, the consultation times, and the “Never Guess These” rules for anything legal.
Add your lawyers, then test
Invite the team, set working hours, and message the number as a new client would. There is no code to write.
What changes for a law firm’s lawyers and front desk
Answers while lawyers are in court
Evening and weekend enquiries get a reply and a next step while the client is still choosing a firm.
Consultations, not long chats
Interest turns into a booked consultation at your stated fee instead of an open-ended conversation.
A file note before the meeting
The lawyer reads the case type and the AI summary before the client walks in.
Every matter has an owner
Each enquiry has a lawyer, a stage and a history the firm’s owner can see.
AI intake vs. answering a law firm’s WhatsApp by hand
| Task | By hand | With Scale |
|---|---|---|
| A message sent at midnight | Read the next working day | Replied to as it comes in |
| “How much is a consultation?” | Typed again by reception | Answered from your fee list |
| “Will I win my case?” | Answered off the cuff, or ignored | Passed to a lawyer, never guessed |
| Which lawyer takes it | Whoever saw it first | Round-robin to a lawyer on shift |
| Adding lawyers and staff | One shared phone | Unlimited team members |
Connect your number, add your practice areas and consultation fees, then message the firm the way a new client would.
WhatsApp for lawyers: common questions
What is an AI WhatsApp agent for law firms?
It is an AI agent that runs a firm’s client intake on WhatsApp. In Scale it answers practical questions from the firm’s own information, asks the case type and a short description, books consultations into Google Calendar and assigns each matter to a lawyer. It does not give legal advice; questions that need a lawyer’s judgement go to your team.
Can a legal intake chatbot give legal advice?
Scale’s AI is there to answer practical questions and book the consultation, not to replace the lawyer. You add rules under “Never Guess These” — for example never assess a case, never predict an outcome, never explain what the law says — and for those topics the AI tells the client it needs to check and passes the question to your team.
Can clients book a paid legal consultation on WhatsApp?
Yes. The AI tells the client the fee from your information, offers the consultation times you list and books the chosen time into your connected Google Calendar. It does not check who is free that day, so keep the times you offer up to date. Scale does not collect the fee; clients pay the way your firm already takes payment.
Can it send each matter to the right lawyer?
New leads are assigned round-robin among team members who are on shift, using their working hours and days off. If you connect a second WhatsApp number — for example a line for corporate clients — that number can have its own team. The owner sees every matter and can move one to another lawyer. See managing your team in Scale.
Who can read a client’s conversation?
Conversations stay inside your firm’s own workspace. A lawyer or staff member sees only the matters assigned to them, the owner sees everything, and these permissions are checked on the server, not just hidden on screen. Someone outside a number’s team cannot open that number’s chats.
Does it understand voice notes and photos of documents?
Yes to voice notes: Scale turns them into text and the AI answers them as it would a typed message. If a client sends a photo — a contract page or a notice, say — the AI can read the image and continue the conversation from it, but it does not give a legal reading of the document; that is for the lawyer at the consultation.
Can a lawyer take over the chat?
Yes. One tap on the conversation hands it to the team member, and from then on the AI stays silent in that chat. If a client writes that they want to talk to a lawyer, the AI hands the conversation over without waiting for anyone to step in.
Does it work with the firm’s existing WhatsApp number?
Yes. The number is linked through Meta’s official signup, and if it already runs in the WhatsApp Business app on the office phone, it can carry on working there too. A workspace takes up to two numbers by default (contact the Scale team for more) — see connecting two WhatsApp numbers.
How much does Scale cost for a law firm?
Scale plans are priced by monthly message volume, and each one comes with every feature, unlimited team members and unlimited workspaces, so you never pay per lawyer. There is a 14-day free trial that needs no credit card; Scale pricing lists the plans.
